Position Available

Executive Assistant

This is an 8-month contract position to determine capabilities and personality alignment with the intent to become permanent after demonstrating good fit.

Your primary role will be Executive Assistant to the Owner, Business Facilitator, and Chief Operating Officer. The purpose of this role is to maximize efficiency and reduce the amount of time they spend on daily operational tasks. Effectively, your job is to make their job easier.

Your secondary role will be Administrative Assistant to other staff in the Kingston office.

Responsibilities Include

  • Executive Assistant
  • Manage phone calls, email and calendar of the Executive team.
  • Act as point of contact, when necessary, between clients and colleagues
  • Manage project schedules and communicate regularly with project team members
  • Prepare reports under direction including meeting minutes, field reviews, proposals, etc.
  • Assist with the invoicing process and manage client feedback surveys
  • Assist with monthly and quarterly reports to the Executive Team and Shareholders
  • Attend to outside office tasks for the Executive team * Administrative Assistant
  • Greet all visitors, answer phones and direct inquires to the appropriate staff
  • Manage incoming and outgoing mail and courier packages
  • Assist technical staff with reports and construction documents
  • Manage office supplies and file organization

Required experience

  • Minimum 1-5 years previous experience in administration, reception, office coordinator

Qualifications

  • Post-secondary diploma in Office/Business Administration or similar program
  • Strong skills in Microsoft Office (Word, Excel, Power Point) and the Windows environment
  • Excellent verbal and written communication skills
  • Always maintain a professional demeanor and a positive service attitude
  • Ability to multi-task in a face-paced, deadline driven environment
  • Able to work efficiently, applying advanced time-management practices
  • Available to work some overtime when needed
  • Demonstrate teamwork
  • A passion for details and organization

Nice to Have

  • Experience as an Executive Assistant
  • Experience in property management or construction industries
  • Experience with cloud-based software such as Yardi (Property Management, Project Management and Accounting) and Sage 50.

Salary: $45,000.00 to $55,000.00 /year
